How to effectively communicate upwards
Establish a communication plan and stick to it
- At the very initial stages of a project, establish a communication plan which defines how key stakeholders will be updated and how often. Whether the communication is through reports, meetings or informal emails it is proven that successful projects have regular rather than ad-hoc communication updates.
Get to know you stakeholders and give them what they want
- It is quite likely key stakeholders will be under time pressures. Therefore in order to effectively engage and communicate with stakeholders you must understand and appreciate these time pressures and keep communication short, sharp and to the point.
Focus on solutions not setbacks
- Effective communication requires acknowledgement and assessment of potential risks and setbacks throughout the life of the project. It is important to give an honest and accurate assessment at all stages throughout project. However it is equally important to provide considered solutions and contingency plans. This will build trust and credibility with your key stakeholders.
Learn the art of storytelling
- Good stories are simple, memorable and engaging. By presenting your message in a story like manner you are more likely to communicate your message in a way that easy to understand, digest and remember. It is also more likely that you message will motivate and inspire your stakeholders into action.
While the tips outlined above are primarily targeted at PM’s I hope there is something here for everyone.
